HOW TO MAKE CHANGES
Login to the portal. Find the name in the top right corner. Choose modify profile and update the information that has changed. Choose save profile.
INSTRUCTIONS
Email [email protected] (AIMC) with the license and request to see if they are able to add the state.
PROCESS
- I have attached the transfer guidelines below.
- Agents can transfer with a release or 6 months no business.
- For a delayed transfer, you will need to email a Notice of Intent to [email protected] stating that you would like to transfer your ACE Med Supp appointment under
- Carolina Senior Marketing (I00UB). Please include your name, agency name, as well as your ACE writing IDs. Please also specify that you have not written business in 6 months. Please copy [email protected] on this email as well.
- For an immediate transfer, agents will follow the instructions above and email [email protected], but request an immediate transfer and provide their release.
- AIMC will then email with transfer next steps and whether new contracting will be required.
- NOTE: If any agent has written business it will require a new number. ACE does not accept conditional releases i.e. reciprocals.
Transfer Guidelines:
HOW TO SEND/SUBMIT THE CONTRACT
- ACE/INA has an online contracting link for the agent to complete through AIMC. To
- send a link:
- Log in to the Agent Portal with the login saved in 1Password
- Click the blue contracting button on the left
- Under SEND CONTRACT fill in the following:
- Carrier – Ace (or INA depending on state)
- State – Agent’s resident state
- Sponsor Writing Number – (####) – Carolina Senior Marketing
- Level/Commission %
- Most agents/agencies are set up at Agent Level- 4 (22%) unless discussed otherwise
- Offer Advancing – Select Advancing amount or Select None
- Add Agent’s Name and Email
- Check the box recommending the agent for contracting
- Send the contract
- Once sent, agent and CSM will receive an email with the agent’s unique link. You can forward that email to the agent or tell them to be on the look out for an email from [email protected]
- Within the link, agents will be asked if they are signing up as an agency and principals will need to say “yes” to be set up correctly.
- Under Contracting Statuses you are able to view where the agent is in the process of completing the contract or resend the contract if needed.
FOR LOA AGENTS/AGENCIES
- To send a downline agent a link:
- Log in to your Agent Portal
- Click the blue contracting button on the left
- Under SEND A CONTRACT ON BEHALF OF DOWNLINE fill in the following based on the agent’s information:
- Carrier – Ace(or INA depending on state)
- State – Agent’s resident state
- Sponsor Writing Number – (####) – Agency sending link
- Level/Commission %
- Most downline agents are set up at the LOA Level- 1 (0.0%) unless discussed otherwise
- Offer Advancing – Choose Select Advancing or None (Advancing not available for LOA Level)
- Add Agent’s Name and Email
- Check the box recommending the agent for contracting
- Send the contract and make us aware the contracting link has been sent.
- Once sent, agent and agency will receive an email with the agent’s unique link. You can forward that email to the agent or tell them to be on the look out for an email from [email protected]
- Under Contracting Statuses you are able to view where the agent is in the process of completing the contract or resend the contract if needed.
Quirks & Tips:
- Agent will be asked to verify their access to the contract with the authorization code sent in the email (this should pre-fill) and the agent’s email address.
- Agents will not be given the opportunity to complete the contract at a later date once they begin the link.
- CSM or upline agency will be notified once the agent has submitted their contract and/or issued a writing number.
- AIMC is who we will got to for any support.
NEW AGENTS
A new agent includes their direct deposit information in the initial onboarding paperwork. They do not need to do anything in the portal unless there is an update or change in their direct deposit.
See attached the form to send to the carrier. Send to [email protected] or [email protected]. If you do not hear back you can reach out and call.

THROUGH THE AGENT PORTAL
To update demographic information in the agent portal:
1. Login to Producer World
2. Click on “Profile & access” in the purple bar towards the top. Use the links under “Manage profile” for personal updates and “Manage firm” for agency updates.
3. Update the demographic information you wish you change.
NAME CHANGE
Submit the name change to [email protected] and include an updated W9 and updated license. Check the report once confirmed to verify that the name has been changed.
INSTRUCTIONS
1. Confirm the weekly report in Integrity Marketing that both Dustin and CSM are active and appointed in the state you wish to add.
If adding a state to an LOA agent or agent with an immediate upline other than CSM, confirm on the report that both the principal and agency or immediate upline agent are active and appointed in the state you wish to add.
If so, add the task to Contracting project in Asana and track everything there.

Notes:
Remember to attach the licenses for the states you are requesting. If you are requesting a state for an agent and an agency, be sure to include both the individual and agency writing numbers and licenses.
Broker Support should send you an email back when the add state has been completed. Please also check the Aetna report (or call if you are not seeing it reflected) and confirm that the state has been added to both the agent and the agency’s appointment.
Add the state to Connect and notify the agent that the state has been added.
STATES WITH “JUST-IN-TIME” APPOINTMENTS
The 36 states where Aetna uses the just-in-time appointment process are: Alaska, Arizona, Arkansas, California, Connecticut, Delaware, Florida, Georgia, Hawaii, Idaho, Iowa, Kansas, Maine, Maryland, Massachusetts, Michigan, Minnesota, Mississippi, Missouri, Nebraska, Nevada, New Hampshire, New Jersey, New Mexico, New York, North Carolina, North Dakota, Oklahoma, South Carolina, South Dakota, Tennessee, Texas, Utah, Virginia, West Virginia, and Wyoming.
The remaining 14 states do not utilize the just-in-time appointment process. In these states, Aetna will continue to request agent appointments during the contracting process.

IMMEDIATE TRANSFER WITH RELEASE
For Aetna, the Notice of Intent — Transfer Release Form will need to be signed under the Transfer Release Option by the agent, their immediate upline and their top of hierarchy on the appointment. The agent will designate if only they will be transferring or if they will be transferring with their downlines, sign in section 2, then send the form to their upline and top of hierarchy to be signed. Once all signatures have been obtained the agent will send the form back to us and we will request a new contracting link for them to complete.
We can attach the NOI-TRF to the agent’s contract.
DELAYED 90 – DAY TRANSFER
If the agent cannot get signatures from their immediate release and top of hierarchy, the Notice of Intent — Transfer Release Form will need to be completed under the Notice of Intent to Transfer Option Section. The agent will designate if only they will be transferring or if they will be transferring with their downlines, add Carolina Senior Marketing as their new upline and sign. Once complete the agent will send the form back to us and we will request a new contracting link for them to complete. Their alignment under Carolina Senior Marketing will be processed 90 days after the new contract has been submitted with the signed NOIT form.
Aetna does have a cut off date for Delayed releases and both the new contract and the NOI-TRF must be submitted by June 30th to have their appointment aligned by AEP. This date can differ from year to year.

HOW TO SEND/SUBMIT THE CONTRACT
Aetna MA has an online contracting link for the agent to complete. To send a link:
1. Log into Producer World using Dustin’s log in saved in 1Password.
2. Click Ready to sell then Individual Medicare under Onboarding
3. Click Manage Downline Onboarding under Manage downline cases
4. A new tab will open to the Onboarding System
5. Click the “+” in the top righthand corner and choose Individual Invitation
6. Enter the Agent’s Last Name, First Name and Email
7. The page will reload and you will be able to “Search for a Recruiter”
FOR PRINCIPAL/AGENCY
• Search for and Select the agent/agency’s immediate upline as the Recruiter
• On New Producer Level, most agencies are set up as an AG4 unless discussed otherwise.
• Click Create and an onboarding link will be generated.
• Within the contracting link the Agent will be asked if they will be contracting as a principal of an agency and you will need to say yes to be set up correctly.
• Only one link needed for both to be set up.
FOR LOA
• Search for and Select the agency where the agent’s commissions will be paid as the Recruiter
• Their New Producer Level will be LOA.
• Click Create and an onboarding link will be generated.
• Within the link the Agent may be asked if they will be contracting as a principal of an agency and you will need to say no to be set up correctly
FOR INDIVIDUAL
• Search for and Select the agent’s immediate upline as the Recruiter
• On New Producer Level, most agents are set up as an AG4 unless it is discussed otherwise.
• Click Create and an onboarding link will be generated..
• Within the link the Agent will be asked if they will be contracting as a principal of an agency and you will need to say no to be set up correctly.
The contracting link will come from Aetna Medicare Onboarding: [email protected]
Once contracting link is completed it can take 5-7 business days to be onboarded, but agent will not be RTS until certifications are completed.
CERTIFICATIONS
Agents will then use this link and the steps below to complete or transmit their AHIP and then complete Aetna’s Certifications:
• You will need register and create a new account with Aetna’s certification system then log back in.
• Once logged in you will scroll down to My Certifications and click PY Aetna Individual Medicare Certification
• Once on the certification page, you will click AHIP Medicare Training.
• This will take you to the AHIP page where you will login or create a new account
• Once your account is created or you have logged in, you will be directed to the Medicare Course Home page where you will complete all of the AHIP modules from there or transmit your AHIP to Aetna.
• Once your AHIP is complete or transmitted, please send me a copy of your AHIP certificate, and then you will ‘return to Aetna’ and complete their modules under Individual Core Medicare Training.
Quirks & Tips:
• Within the Recruiter Name Search, if the agency does not appear when typing the agency’s name, try the agency’s NPN or TIN. If the agency still does not show up, and you know they are appointed and active, try logging out and starting the process over.
• Their NPN will be their writing number
• Agents have to register on producer world then they will have access to their onboarding/ contracting link
• Each link has its own OB code (ex. OB-123456)
• If there is an open invitation already linked to the agent, the agent will need to cancel it before they are can complete the one we sent.
• If the agent does not complete their link in one sitting they can access it again by following the steps below.
• Log into Producer World using Dustin’s log in saved in 1Password.
• Click Ready to sell then Individual Medicare under Onboarding
• Click on “Go to your Onboarding Case” under Complete your case
• Click on blue, hyperlinked case OB-XXXX under section “Open Cases Assigned to Me”
• The agent will need to make sure each tab in the onboarding case is completed and saved before submitting.
• On Aetna RTS report:
• Column F confirms Agent Level
• Column AB Direct Upline/Payee for LOAs
• Column I confirms RTS status
NEW AGENTS
A new agent includes their direct deposit information in the initial onboarding paperwork.
They do not need to do anything in the portal unless there is an update or change in their
direct deposit.
TO UPDATE EFT
If an agent needs to update or change their direct deposit, have them follow the instructions
below:
1. Log in to Aetna Producer World
2. Click on Compensation and reporting in the purple banner
3. Select “Direct Deposit/EFT & tax forms” under Resources
4. Select “Direct Deposit (EFT) Authorization Form”
5. Complete the form as needed
6. Click Submit
The direct deposit is processed in 2 pay cycles.
An agent’s direct deposit can also be updated through an EFT authorization form. Email the complete form to [email protected]

INDIVIDUAL BOB TRANSFER
1. Complete the Agent of Record Change Form.
2. Complete the AOR Membership List.
3. Submit your request with supporting documentation to [email protected].
4. After receiving approval of your request:
5. Send a letter to every member affected by the change that includes the name of the new agent/agency, and the effective date of the change.
AGENCY ACQUISITION
Complete the Agency Acquisition Notification form and submit it to [email protected]. Purchase agreement needed.
NOTE: The member notification process outlined in the Individual Agent of Record Changes section does not apply when enrollments are completed telephonically by LOA agents, i.e. there’s no direct relationship with the member.
To determine if it is an Individual Book of Business Transfer or an Agency Acquisition, ask:
1. If the agent has an agency – who is AOR on all the business?
2. Is there any business under the agent as the individual or only the agency?

To make a demographic update, send the agent these instructions:
1. Login to the agent portal
2. Once logged in, click Agent Management
3. Click on Update Correspondence on the right-hand side
4. Make the desired changes and click Update
If an agent is changing their name, they will need to call 866-6184993 to make the name change request. They will need a copy of their marriage certification and submit the request in writing.
INSTRUCTIONS
Pre-Appointment States: AL, PA, KY, LA, MT, OH, OK, UT, VT, WA, WI
For all add state requests for LOA agents, make sure that the principal and agency are also licensed and appointed in the state for that carrier before submitting the request for the agent.
1. Login to the agent portal
2. Select Agent Management (here you see CSM appointments and can request)
3. Click on View & update appointments downline agents
4. Type in the agents name and verify the writing # from the dropdown
5. Select the states requested
It takes up to 5 business days to process. If it does not process, call Aetna Senior.
Note: You can also email AetSSI Information <[email protected]> with writing # and request that the state be added.
Note: The agent can also follow the steps above to request the add state on their end, but we have line of sight from our portal.
If it’s their own portal, and the agent is the principal of the agency, they will need to login as their agency after adding the state to their individual appointment and follow steps 2-5 to add the state to the agency’s appointment as well.
INSTRUCTIONS
Agents can transfer their appointment with 6 months of no business or a release. A new contract will be needed with both an Immediate or Delayed transfer.
Transfers can only be a paper contract. We cannot initiate a transfer contract through the portal. The paper contract is located in dropbox. You will need:

- Click Request Review in red and enter the agent’s email address. This will send the contract to the agent from Surance Bay.
You will then email the agent that they should soon receive the AIG contracting link from Surance Bay, [email protected], and to let you know once the link is completed.
You will know the contract has been submitted once Agent Pipeline reaches out requesting levels for the agent’s contract. You will provide the levels and continue to see it through.
HOW TO SEND THE CONTRACT

You will then email the agent that they should soon receive the AIG contracting link from Surance Bay, [email protected], and to let you know once the link is completed.
You will know the contract has been submitted once Agent Pipeline reaches out requesting levels for the agent’s contract. You will provide the levels and continue to see it through.

Thank you for your interest in appointing with Alignment Health Plans! AHP has a two-step certification process to get you appointed and ready to sell. I have listed out the steps below as well as bolded important details you do not want to look over.
Please remember to have a copy of your E&O certificate, NC insurance license and your AHIP to upload into the system.
- First, you will need to complete your online registration and annual certifications.
- To begin your online registration, go to: Alignment Health Plan
- Click on the agent tab
- Click on ‘Need to certify?’ Enter your NPN number then select Alignment Health Plan
- On the General Info tab, you will enter your individual information then under “Contracted Agency Affiliation” you will enter Carolina Senior Marketing, select North Carolina then continue
- You will then need to upload your NC license, E&O and AHIP Certification
- On the AOC Agreement Tab, your signature is needed as your commissions will be paid to CSM and we will pay them out the way you are currently set up
- Then you will move on to the training video and Exam. A minimum score of 85% is required to complete certification and three attempts are permitted
- Once you have passed you will complete your registration!

HOW TO OPT INTO DIRECT PAY
We have enabled you to opt into direct deposit. This will be available to you for 30 days. If you have not opted into direct deposit by then, you will continue to be paid by CSM. You can always reach back out to us to enable direct deposit at any time.
1. Log in to the Alignment Health Broker Portal
If you do not know your password choose “forgot password” and follow the directions to get login access
2. Navigate to the My Commissions tab in your Alignment Broker Portal dashboard.
Choose “Enable Direct Pay” to connect to e123 sign up or if you do not see that as an option choose “Connect to E123”
3. Choose “Portal Overview” and here you will find steps for what is required to activate direct pay (also listed below).
Step 1– You will need to Submit a W-9
- Navigate to the ‘Documents’ section directly from the Portal Overview page or go back to the home page and choose ‘Statements and Documents’ (Select “W-9 Form” as the document type.)
Step 2– Submit your Joinder Agreement Form (your personal information)
- Download, complete, and sign your Agent Joinder Agreement. Upload it to the Documents
section. (Select “Direct Pay Agreement” as the document type.)
Step 3– Add the bank account
- To add a receiving bank account, click on Bank Account from the home page.
After completing these steps, expect an email from [email protected] confirming your Opt-in Status or addressing any missing or incomplete information.
Make a subtask for 30 days out to confirm if the agent has opted into direct deposit. If they have, change the agent level in Asana to AGENT and notify Lauren to make that change in Connect. If they have not, their level will remain LOA.
INFORMATION
Agents’ individual commissions are paid to Carolina Senior Marketing and then we pay out commissions to the agent. If an agent wishes to update their direct deposit, have them complete the Jot form linked below.

If an agent is direct pay and would like to opt into Direct Pay with Alignment Healthcare you can send them the instructions below. Confirm this has been added under the Commissions tab in CSM’s portal. You can choose to disable this option for an agent by choosing ‘Disable Opt In Direct Pay’ in the commissions section as well. Disabling will ensure that CSM is being payed even if the agent opted in.

PROCESS
Attached is the Broker Release Request form Ambetter requires. The agent’s current upline will need to sign and date as the Principle & Agency and include the Principle NPN in Section A. The upline will also need to sign and date under Producer Signature at the bottom of Section B.
The agent will need to sign and date as the Sub-Producer in Section A and at bottom of B.
Once the form is completed, you will send to Agent Pipeline to submit to Ambetter. Once processed, the agent’s current appointment will be terminated and can re-contract under Agent Pipeline.
AMBETTER
Please see the attached Broker Release Request form for Ambetter. Agents cannot transfer
their appointment without a release. With that being said, the attached form will need to
be completed by your current upline. Please let me know if you are not able to get a release.
1. Your current upline will complete the section under Agency & Principal.
2. Your current upline will sign and date at the bottom next to Producer Signature.
3. You will complete the section under Sub-Producer.
4. You will sign and date the bottom next to Sub-Producer Signature.
Once your release form is submitted and processed at the carrier, you will receive a new
contracting link to complete.
DIRECT PRODUCER
If agent is Direct with Ambetter, the attached Direct Producer form will be needed. Current
contract will be terminated and we can send a new link to appoint under AP.
Quirks and tips:
• Agent cannot transfer without a release
• There is no delayed release option.

TRANSFER WITH RELEASE
If the agent receives an immediate release from their current upline, we will submit the release and request to Jonathan Zebulske who will begin transferring the agent and associated writing number to Carolina Senior Marketing. Make sure the agent is clear on where their book of business will go. Many FMOs do not release the book of business. Standard processing time is under 30 days.
TRANSFER WITHOUT RELEASE
Blue is starting to implement a delayed transfer process. Agents must issue a written release request to their current FMO. If a release is not granted, there will be a 60 day waiting period from the date the request is submitted. Following this period, the transfer will be processed within 30 days.
Blurb to Communicate to Integrity Partners:
At this time, we are only able to assists agents who are either direct with BCBS NC or have received an release from their current upline with BCBS NC appointment transfers. We are no longer able to initiate transfers without releases away from other FMOs as most of the FMOs the appointments are moving away from are other North Carolina Integrity Partners and we do not want to negatively impact those relationships.
If the agent is a true, direct agent with BCBS NC we can look into moving their appointment under us, as it would be the agent’s Sales Manager’s discretion on whether or not they release the agent to us. If you want to let me know the names and NPNs of the agents who are currently direct to BCBS NC I can reach out to on their behalf to confirm then let your team know how to proceed.
If the agent has a release please have them complete the attached paper application. It’s important they include their current Producer ID on page 2. You or your team can then send back the application and the agent’s release to me directly and I will work with BCBS NC to transfer the appointment.
In both cases, we ask that (Integrity Partner) makes sure the transferring agent understands that Carolina Senior Marketing is the Integrity Partner you are offering BCBS NC through, their commissions going forward will pay to Carolina Senior Marketing then to (Integrity Partner) once transferred and their NC BCBS Regional Sales Executive will welcome them as a Carolina Senior Marketing agent under Dustin Alipour.
CONTRACTING/CERTIFICATION OVERVIEW
- Create Case in Case Management
- Agent receives Workday training (Zoom or Online) & exam link from Charles within 10 business days. (See attached Job Aid)
- Agent is loaded to Workday. Agent receives 2 emails

It needs to be signed within 48 hours, if not, the contract will time out and need to be requested again. If you don’t see it in your inbox please be sure to check your spam and junk mail. Please let me know when you have signed it. Please allow 10-15 business days.
HOW TO SEND/SUBMIT THE APPOINTMENT REQUEST:
BCBS NC 065 has an online contracting link for CSM to complete:
- If the agent has not completed the current year AHIP do not proceed. They must have the AHIP completed to begin.
- Log in to https://bluecrossnc.com/agents
- In the top right corner, click Case Management (it will open a separate tab).
- Click on New Case.
- Click Agent Appointment Request.
- Type Carolina Senior Marketing into agency name and CSM’s ID (A0035747)
- For an O65 Appointment Request, select:
– Med Supp/Part D (O65): Individual Business
– Med Advantage (O65): Individual Business
– Dental Standalone:Individual Business
– Experience Health: Individual Business
- Click Submit in lower right corner.
- Fill out required agent’s information using submitted Asana form or Connect depending on where they’re coming from.
- If you are not sure on the Gender Identity/race/military questions, put ‘declined to provide’
- Add AHIP certification completion date even though it does not have required*
- Once you have filled out all required information, click Submit in bottom right corner.
- Upload copy of their current AEP year AHIP and license on the submitted screen

- Under Line of Business, do not select Grange or Group products

Once processed, they will be creating you a Workday Account that will allow you to complete their online training and exams needed to be ready to sell for MAPD.

Once all training has been completed and exams passed, your BCBS NC appointment request will then be moved to the Producer Operations team for appointment and an Echo Sign Contract from Producer Operations will need to be signed electronically. It can take up to 15 business days from when you completed certifications to receive this final step.

CERTIFICATIONS FOR NEW AGENTS
As of 2025, BCBS NC O65 certifications are completed through Workday. Once we’ve submitted, the agent’s appointment request, Charles Washington, [email protected], will send the agent an email confirming they’ve been set up for the O65 online training. They will also receive two emails from [email protected] with their link, username and temporary password. I’ve attached the Job Aid to help walk them through the training/exams.
If they cannot locate their Workday emails in their inbox or spam/junk folder and we know Charles has set them up, please have them accessing their Workday account through the following link, https://wd5.myworkday.com/wday/authgwy/bcbsnc/login.htmld?redirect=n, to reset their password by using “forgot password” and using NPN + their NPN number, no spaces. RE-CERTIFICATION PROCESS
BCBSNC only requires agents to complete and transmit their AHIP and attend one of their virtual MAPD kick-off meetings. Depending on the year, the virtual meetings may not be mandatory.
